Licencing, Pricing and Usage

There is a single, fixed set-up and implementation fee, which covers every aspect of scoping, set-up, testing and training.

There is no limit to the numbers of users, jobs and candidates you can manage with Jobtrain.

Yes! About 85% of the configuration and settings in Jobtrain is available to any designated super-user. We will support you with training and guidance but also have a comprehensive online knowledge base too.

Yes you can. Our solution is designed to work with all devices and screen-sizes. We also have our Jobtrain Mobile, a web app that is designed to work across all smartphones to allow hiring on the go, especially useful for hiring managers!

Implementation and Set-up

All new clients are assigned an Implementation Success Project Manager who will work closely with you to ensure a successful implementation.

We hold detailed scoping meetings with you, map out all your processes and agree how Jobtrain should be setup to support each area. We have a really easy to follow online tool to support you in providing all the information we need and so you can track our progress as we do all the set-up and configuration for you. We will support you through review and testing, deliver training to all users and offer guidance and advice every step of the way.

All Jobtrain solutions are delivered against fixed set-up costs so that clients can budget with confidence in the knowledge that the agreed set-up fees will not alter.

You should consult with and inform your IT team when introducing any new software/system. However, implementing Jobtrain will have minimal impact on your internal IT infrastructure as we host Jobtrain and deliver it via the Internet and provide full support.

Training

Yes, we offer onsite and virtual training for all core users of the system and ‘train the trainer’ and video guides for all other users (e.g. Hiring Managers).

In addition, we have a full online knowledge base and all users have access to our support team for guidance and help.

The licence fee includes all aspects of the product, hosting, service, support, dedicated client success consultant and upgrades and this is paid annually in advance.

Yes, we will agree a tailored view and access/permissions for your hiring managers and all users can use our JT Mobile web app for an intuitive experience on the go, which is compatible with all smartphones.

SUPPORT

We include a full online, phone and email support service to all users including HR, Recruiters, Hiring Managers, and Candidates.

There are no limits on volumes of technical support we’ll handle on your behalf, and this is included as part of your licence fee.

All our clients have a dedicated Continuous Improvement Consultant who will work closely with you to help you realise maximum benefit from using Jobtrain and ensure you measure and achieve your strategic goals.

Finally, we have a unique Talent Intelligence Unit, who are available to work closely with you to highlight trends and actionable insights from your data in Jobtrain.  Reports are created quarterly and are designed to give you meaningful, actionable information that is unique to you and your organisation.

SECURITY AND DATA

All data stored on your Jobtrain solution is owned by you as a Data Controller under the terms of the Data Protection Act 2018 (DPA 2018), and the UK General Data Protection Regulation (UK GDPR).

Jobtrain Limited, its team and the ATS solution it provides to all its clients, fully complies with the Data Protection Act 2018 (DPA 2018), and the UK General Data Protection Regulation (UK GDPR) and as a data processor Jobtrain is registered with the ICO.

Specifically our platform provides users and candidates with a range of tools (including archiving and deletion) that cover all of the following:

  • The right to be informed
  • The right of access
  • The right of rectification
  • The right to erasure
  • The right to restrict processing
  • The right to data portability
  • The right to object
  • Rights in relation to automated decision making and profiling

The Jobtrain ATS platform is a SaaS product and is co-located in three UK datacentres. The datacentres are located in London, in Telehouse North, Telehouse West and Park Royal London.

Jobtrain’s private cloud hosting provider and data centre are ISO27001 certified. Jobtrain is also Cyber Essentials and IASME certified.

Jobtrain’s application and architecture is regularly penetration tested by third party testing partners.

INTEGRATIONS

Yes, we have a wealth of experience of integrating with a wide number of HR Systems including MHR, NGA HR, SAP, Oracle, Workday, Unit4, Access, Core HR, Salesforce and many more.

Using our multi-posting tool, you have the ability to post jobs to almost all the job boards you have contracts with.

Jobtrain also posts all your roles to a wide variety of free sources including:  Indeed, Google for Jobs, Talent.com, Adzuna and Zip Recruiter.

In addition, we have great ‘quick apply’ integrations with reed.co.uk and Totaljobs.

Yes we can. We have 20 years’ experience of integrating with complimentary solutions. We have an existing eco system of nearly 50 integrations and will be happy to explore an integration with any tools and products we don’t currently work with.

As an Internet based ATS platform, we use the latest technologies in terms of infrastructure and software development to provide robust, scalable, reliable and usable solutions.

Our ATS has been developed with flexibility at its heart and this extends across its core configurability as well as its integrations with 3rd party products and services.

We have a collaborative and flexible approach to API integration with client platforms to provide seamless and robust interfaces. We offer a RESTful Open API for integrations, which we can provide details of on request, as well as an extensive marketplace of 50+ integrations. A few examples of existing integrations include job boards, marketplace integrations and HR and payroll systems.
